  • Functional Overview

Everything you need to comply with the GDPR information obligations

    Inform persons

UPDATU is designed in such a way that neither you nor the employees of your company have to be data protection experts in order to comply with the DSGVO information obligations

Your employees only enter the name and email address of the person (data subject) in UPDATU.

The person will then receive an email via UPDATU with the data protection declaration of your organisation and, if applicable, with the source of the data.

Here UPDATU ensures among other things,

    • that each person  is only informed by your company once and in compliance with the GDPR
    • that only those persons are informed who have not submitted a deletion request
    • that persons are automatically informed in the right language

    Inform in the right language

If the person does not speak your language, you can inform the person about data protection in another language by one click. Your employees do not need to speak or write the other language.

    Deletion request by person

Any person who is informed by e-mail about the use of their personal data can submit a deletion request with one click.

Your administrator will be notified immediately. Your administrator can define on UPDATU when the personal data of the person is to be deleted. The person automatically receives information by email with the deletion date.

    Fully automated data privacy reports

With the introduction of the DSGVO, your organisation is subject to the so-called "reversal of the burden of proof". In this case, your organization must provide proof that the information obligations have been properly fulfilled.

UPDATU provides the following fully automated reports:

    • Report of all persons whose personal data are processed by your organization (Single Point of Truth)
    • Report of all informed persons
    • Report of all non-informed persons
    • Report of all persons who have requested the deletion of their data in accordance with Art. 17 DSGVO
    • Report of all persons who have requested the deletion of their data in accordance with Art. 17 DSGVO but who may not yet be deleted, e.g. due to legal retention periods
    • Report of all persons to be finally deleted (blacklist)

Digital privacy file for each individual person, including deletion management

UPDATU automatically creates a digital privacy file for each person concerned. The data protection file contains:

    • Master data of the person, including the source of the data
    • GDPR evidence of whether and which data protection declaration was sent to the person
    • status information as to whether the person has requested the deletion of his/her personal data
    • Status information as to whether the person affected is flagged for deletion (blacklist)
    • Final deletion of all personal data

Fully automated notification after updating the data protection declaration

Each update of the privacy policy leads to its versioning. All affected persons who are not in the deletion process will receive the updated privacy policy. The sending of the updated privacy policy is logged fully automatically in the respective privacy files of the persons affected.

    Manage Privacy Policy(s)

When registering on UPDATU, you enter your organization's privacy policy(s) once so that your employees can use them to fulfil their information obligations.

UPDATU enables the central administration and publication of all privacy policies of your organization. You can decide whether you want to store one or more privacy policies, such as a privacy policy for business contacts and a privacy policy for employees. Furthermore you have the option of storing data privacy policies in several languages.

For corporations: administration of subsidiaries and their privacy policy

UPDATU enables companies consisting of several legal entities to manage and publish affiliated companies or subsidiaries. The list of affiliated companies can be integrated into the privacy policy if required, thus ensuring that your privacy policy is consistent at all times in the context of acquisitions and divestments of parts of companies.
